Change registers without starting over.

Bring your product list across, keep the scanner, printer, drawer and card terminal you already have, and run both registers side by side for a day if you like. Most of the work is one export and one import.

Who it’s for

Independent counters in Canada

Estura is built for convenience stores — one till or several — and it’s worth a look if any of these sound familiar.

  • You pay more when you sell more. Your POS bills a percentage of card sales, or its processing is tied to the software. Estura is $94.99 a month per till and takes 0% of your sales.
  • Your register runs on a Windows PC — or you’re happy to use one. Windows 10 or 11, 64-bit.
  • Your old system can export its product list, or you don’t mind scanning your shelves in with the price list doing the typing.
  • The internet at the counter isn’t perfect. Estura rings sales, prints receipts and opens the drawer with the connection down.

Probably not a fit, to be straight with you: if you need a Mac, gift cards or points-based loyalty, refunds back onto a customer’s card (Estura refunds in cash or onto a house account), or a store outside Canada.

Step by step

Six steps, in order. An afternoon, not a project.

Export from your old POS

Find its product or item-list export and save it as a file. While you’re there, save the sales and tax reports you’ll want to keep — past sales don’t move across.

Usually under its inventory, items or reports menu.

Import your products

A file with name and price columns goes straight in. Anything else becomes a price list, and you scan your shelves with prices filled in for you.

Inventory → … → Import CSV, or Scan to add products → Load list

Check prices and taxes

Your province sets the sales tax rate during setup. Then make sure tax-free items say so — a file without a taxable column imports everything as taxable. Scan a few shelves to spot-check prices.

Set up your staff

Give every cashier their own PIN and role, so each sale, void and no-sale is tied to the person who rang it.

Print a test receipt

Pick your receipt printer and print a test, then pop the drawer. Choose how this till takes cards while you’re in Settings.

Go live

Ring your first real sale. Keep the old register plugged in beside it for a day if that helps you sleep — there’s nothing to sync between them.

Importing

Two ways in. Use whichever your old export suits.

A product file, in one go

Import CSV takes a comma-separated file with a header row. Only name and price are required; barcode, category and sub-category, taxable, cost, brand, size, supplier, stock on hand, age limit, deposit and enviro fee come across when they’re there. New categories and suppliers are made for you, and a bad row is skipped and listed — the rest still import.

Old column names are fine

Common header names are recognised, in any order and any case.

Messy export? Load it as a price list

The price list reads comma, tab, semicolon or pipe-separated files, guesses which column is the barcode, price, name and tax, and lets you correct it. It doesn’t add anything to your catalogue on its own — it fills in the price and tax as you scan each item in.

Then scan your shelves

In Scan to add products, each scan lands as a row. Items in the price list arrive with their price and tax filled in and the old register’s name beside them. Anything not on the list gets a name suggestion from public product databases — only the barcode number is sent.

What comes across

Your catalogue moves. Your history stays where it is.

  • Categories and sub-categories — in their own columns, or written as Drinks › Water.
  • Tax, age limits, bottle deposits and enviro fees, per product.
  • Stock on hand and reorder points, when the file has a quantity column.
  • Suppliers, linked by name and created if they’re new.
  • Extra and case barcodes — a case code written as 012345678905 (x12) rings up 12.
  • Carton → pack links and commissions — the columns Estura’s own export writes.

Stays behind

  • Past sales, receipts and reports. Estura’s history starts with your first sale on it. Export what you need first.
  • Customers and house-account balances. Add your regulars by hand and carry each balance over with Adjust balance.
  • Staff and PINs. Each cashier is set up fresh, with a new PIN.
  • Promotions, quick keys and rebate programs. Set them up again — they take minutes each.
  • Gift cards and loyalty points. Estura doesn’t offer them, so settle outstanding balances in your old system.
  • Separate tax codes per item. Estura uses one sales tax rate for the store; each item is simply taxable or not.
Everything that comes across can go back out: Inventory → CSV exports every product with every column above, and that file imports straight back in.

Most counters need nothing new

Estura works with standard gear rather than its own devices. The exception is equipment made only for your old POS company’s system — their own terminals and stations usually don’t carry over.

Your old POS and the 14 days

Don’t cancel anything until Estura is ringing sales

A new Estura till rings real sales for 14 days before it needs a key. Use that window to set up at your own pace while your old register keeps the store running, then subscribe and cancel in that order.

  1. Install and set up, old POS still running

    Install Estura on the PC you’ll use at the counter. On the first screen, use the Set up & activate later link under the key box to start without one — the 14 days count from then.

  2. Import, check and practise

    Bring your products across, check taxes, add your staff and print a test receipt. Ring a few sales. Nothing about your old register changes.

  3. Subscribe and activate

    Get Estura, then enter your licence key in Settings → Subscription and click Activate. Everything you set up stays exactly as it is.

  4. Then cancel your old POS

    Check its notice period, any early-cancellation fees and whether leased equipment has to go back. Export the reports you’ll need for your books before your access ends.

    If your card processing came with the old system, make sure your new terminal is working first.

If the 14 days pass before you activate, Estura stops ringing new sales until you enter a key. Your products, staff and settings stay put, and the app counts the days down so it doesn’t catch you out.

Can I bring my sales history across?
No. Estura’s sales history starts with the first sale you ring on it — there’s no import for past sales, old reports or old receipts. Before you cancel your old POS, export or print the reports you’ll want later (sales by day, tax collected, anything your accountant asks for) and keep them with your books.
My old register exports an Excel or tab-separated file. Will that work?
For the price list, yes: it reads comma, tab, semicolon and pipe-separated files (.csv, .tsv or .txt) and lets you pick which column is which. Import CSV needs a comma-separated .csv file with a header row. If all you have is an Excel workbook, open it in Excel and save it as CSV UTF-8 (Comma delimited) — the safest choice when product names have accents, too.
Will my barcodes still scan?
Yes, as long as the export has the full codes. Estura treats a 12-digit UPC-A and its 13-digit EAN version as the same item, and a short UPC-E scan finds a product saved under its full code. Codes saved without their last (check) digit, or that lost their leading zeros when the file was opened in Excel, won’t match — fix the column first, or catch those items with Scan to add products.
What about customers who run a tab?
Customers and house-account balances don’t import. Add each regular under Customers → New customer, turn on their house account with a credit limit, then carry the balance over with Adjust balance and a note such as “Opening balance from old POS”.
Can I run both registers side by side?
Yes, and it’s a good idea for the first day. Estura has no practice mode, so anything you ring counts in its reports. A simple check: ring the same basket of everyday items on both, compare the total and the tax, then void the Estura sale. Voids are recorded against whoever rang them, so that one will show under your name.
Do I have to change my card processor?
No. Keep the terminal you have: the cashier runs the card total on it and Estura records the tender (Settings → Payments → Any card terminal). If you’d like the total sent to the reader automatically, Stripe Terminal is built in. If your card processing comes bundled with your old POS and ends when you cancel it, line up a standalone terminal before you switch.
